After submission, maintain a dated case tracker for receipts, authority messages, requests and responses. Record what a message actually confirms instead of interpreting every update as approval.
What the official guidance establishes
IRCC’s requested-document guidance describes different submission channels and provides confirmation after documents are transmitted through the relevant process. The correct channel depends on the account and instructions involved. Read IRCC: submitting requested information for the original scope and current instructions.
Create a case header
Record the applicant, route, submission date and private reference location. Save the exact submitted package and confirmation. Give each family member a separate row when their records or messages differ, even if the household planned the move together.
Turn messages into actions
For every genuine authority message, record the date received, request, stated deadline, action owner and evidence of response. Quote the key instruction accurately in your private tracker. Keep marketing emails and an agent’s general updates outside the authority-message log.
Close each request with evidence
Link the final file sent, the channel used and the transmission confirmation. Mark the action answered while retaining the authority’s decision as a separate status. If an instruction cannot be followed, use the stated problem-reporting process and preserve the explanation.
Your working sheet
This is an optional IMMIGEUROPE planning worksheet, not an official application form or a new document requirement.
| Record | What to enter |
|---|---|
| Received | Message date and verified source |
| Request | Exact item or action and stated deadline |
| Owner | Person responsible and next step |
| Response | File, channel and submission confirmation |
Worked planning example
A fictional applicant receives a request for a clearer copy. The tracker labels it “document request,” records the replacement and retains the upload confirmation. It does not turn the receipt into an immigration decision.
Use the tracker to keep the case understandable, not to forecast when a decision will arrive. Keep the next action in the moving planner and use the guide library for the next part of your move.
