Keep a permanent-residence decision and the current document used to prove it in separate but connected records. Research replacement, work evidence and travel documentation through the issuing authority. An old approval letter may be important history, while a current proof requirement still needs its own answer.
A status decision and a card have distinct roles
IRCC says Canadian permanent resident status is not lost merely when a PR card expires and discusses circumstances in which status is lost. Its guidance also addresses travel proof. This is a Canadian PR distinction, not a claim that every country’s document expiry leaves all residence or travel rights unchanged. Build a decision-document-service index
Record the original grant, the current proof and the service that is asking for evidence. Use the authority’s renewal or replacement instructions for the document, and its travel guidance for a journey. Keep any employer’s proof request separate rather than assuming one recipient’s acceptance covers all others.
| Record | What to retain | Question to resolve |
|---|---|---|
| Original decision | Genuine grant and relevant conditions | Where is the authoritative history? |
| Current proof | Card or digital record and document dates | What replacement or renewal process applies? |
| Travel | Itinerary and authority guidance | What evidence is needed to return? |
| Employment or service | Actual recipient request | Which accepted proof is current? |
Do not substitute a renewal receipt without checking
Illustrative situation: a card renewal is submitted before a trip and the traveller receives an acknowledgement. Keep that acknowledgement, but ask the responsible authority whether it answers the actual travel-proof question. Do not assume it can replace a required document simply because the underlying grant was permanent. If a carrier enquiry is needed, preserve it separately from the authority’s status guidance.
Update the index after replacement
Retain the new document’s confirmation and review linked service records through each organisation’s accepted process. Ask the issuer what should happen to superseded documents. This index organises proof and history; it does not establish continuing status, decide a return right or determine the validity of an old record for every purpose.
