Coordinate a Japanese student COE file through a clear school–student–funder handover. Identify who supplies each genuine record and who resolves discrepancies before the consular stage.
What the official guidance establishes
The Foreign Ministry’s Student visa page identifies the COE as part of its document guidance, allows an electronic COE to be presented as described there, and warns that nationality-specific additional documents may be needed. Read Japan Ministry of Foreign Affairs: Student visa and COE for the original scope and current instructions.
Separate admission from immigration preparation
Record the institution, campus, course and the admission record received. Ask the school which part of the COE preparation it handles and how it wants student information delivered. An offer letter and a request for supporting information should have different statuses in your tracker.
Give each record an owner
For identity, education and any funding information requested by the school, write the issuer, the person who can obtain it and the delivery format. Compare the names and course dates before sending the file. Keep a school-specific request distinct from a requirement stated by the Japanese mission.
Close the handover with a readable index
Send an index of the supplied documents rather than an unexplained bundle. Keep a log of corrections and the date the school acknowledged the revised item. Once the COE is issued, prepare the separate consular checklist for the actual nationality and place of application.
Your working sheet
This is an optional IMMIGEUROPE planning worksheet, not an official application form or a new document requirement.
| Record | What to enter |
|---|---|
| Institution | Course, campus and named contact |
| Record owner | Student, issuing school or genuine supporter |
| Evidence status | Requested, received, corrected or delivered |
| Next stage | Issued COE and mission-specific visa checklist |
Worked planning example
A fictional applicant’s old transcript and passport use different name orders. They flag the difference in the handover index and ask how the school wants it explained. They keep the unedited originals and the school’s response together.
Treat the school’s assistance as a defined handover, not an assurance of a visa result. Keep the next action in the moving planner and use the guide library for the next part of your move.
