Audit every traveller’s actual passport against the destination, immigration route and complete itinerary. Record what needs checking instead of assuming that an unexpired passport is sufficient for every journey.
What the official guidance establishes
The US State Department travel checklist tells US travellers to check destination-specific passport validity and entry requirements with the relevant foreign embassy; it does not establish one validity rule for all destinations. Read US Department of State: international travel checklist for the original scope and current instructions.
Read the passport as a travel dependency
For each person, record the expiry date, issuing country and the name used for bookings. Inspect the physical record for damage and available pages, then compare it with the current destination instructions. Keep passport numbers in a private file rather than an open household spreadsheet.
Check the entire itinerary
List destination and transit countries separately, together with the document used for each leg. Save the official entry information relevant to the traveller’s nationality and permission. Add the carrier’s document question when the itinerary or a replacement passport creates uncertainty.
Plan replacement before dependent tasks
If replacement is needed, identify which bookings, appointments or application records depend on the passport details. Ask the responsible authority how to handle an existing visa or digital record before changing the document. Set a follow-up action for each dependency instead of guessing that a new number updates everywhere automatically.
Your working sheet
This is an optional IMMIGEUROPE planning worksheet, not an official application form or a new document requirement.
| Record | What to enter |
|---|---|
| Traveller | Name and issuing country |
| Passport review | Expiry, condition and blank-page question |
| Journey | Destination and each transit stop |
| Dependency | Booking or application needing updated details |
Worked planning example
A fictional family has three passports with different expiry dates. The earliest-expiring passport, not the main applicant’s document, determines the first research task. The family checks that traveller’s route requirements before buying a shared non-refundable itinerary.
Keep the dated official instruction beside each passport question. Keep the next action in the moving planner and use the guide library for the next part of your move.
